Assistance GRANT
Every School Deserves Quality Archiving
Our 2024 Archiving grant program is about to commence! We recognise the importance of preserving the past in order to help shape the future. We also understand that due to budget restraints, archiving might be at the very bottom of your to-do list.
The School Archiving Assistance Grant provides assistance to eligible Victorian Schools who may not have the resources to invest in archiving solutions, enabling them to manage their archives and stay compliant.
What Is Available
We offer a pool of $100,000 across two rounds annually to assist schools in investing in a compliant archiving system.
Each successful grant application includes:
- Financial support between $500-$5000 to use on a range of Smart Stack systems and services.
- Free onsite or online archiving assessment
- Expert advice on the best archiving solution to meet your needs
- Ongoing support and advice from our team of archiving experts.

Complete Smart Stack Outer System
Have a complete archiving system installed consisting of second hand outers.
Smart Stack Inner
Boxes Only
If you already have a shelving system, you can use the Smart Stack inner boxes.
Smart Soft Archiving Software
Full access to our online archiving software, including document processing.
Record Processing & Cataloguing
Have our team come onsite and process your documents into your existing system.
Who ARE WE?
Smart Records Group / Smart Stack are the school a archive specialists. We have been assisting schools with their archiving for over two decades, offering services that cater to every stage of the document retention lifecycle, including:
Is My School Eligible?
To be eligible for assistance, applicants must meet the following criteria:
- Not have a Smart Stack archiving system in place currently
- Be a school based in the state of Victoria
- Have a number of enrolled students at 200 students or less
How do I Apply?
Applications for round 1 for 2024 open on the 15th of April and are assessed on a rolling basis, with the final date to submit applications on 11:59pm June 28th.
To complete your application you will need to answer details on the following:
- Basic school contact information
- Details on your current archiving situation
- Upload or submit 5-10 photos showing the current state of your archives

FAQ's
If you already have shelving or a compactus that is fantastic!
Many schools have different systems in place for their archives and our Smart Stack inner boxes fit perfectly on shelves of all sizes – and it means you will never have to lift more than 5kg.
For schools who already have a system in place, we strongly recommend looking at archiving software.
We provide funding amounts of between $500-5000 per successful applicant which will partially cover the costs of installing an archiving system or completing archiving services.
The amount will not cover the full total of the quoted system and services, with successful applicants paying the final amount.
All systems and services quoted are tailored to your school’s needs.
The Department of Education has been working with a variety of schools to help with processing their currently stored documents, but when you have documents returned you will still need to have somewhere secure to store your documents.
Our team will be able to tailor a solution to ensure your system never gets messy again!
We know that for many schools archiving isn’t a priority, but by installing a Smart Stak System you could:

To submit your application you will need to provide 5-10 photos showing the current state of your archives. You will be able to upload these directly, or submit them to us via SMS or email.
