What Happens in an Archiving Assessment?
Our team of staff meet with you to assess all aspects of your archiving, including:
Storage Environment
We take a look at where your archives are currently stored. You may think that they are in the most appropriate room, but have you considered the environmental setting which may have long term effects. Things we take into account:
- Moisture & airflow – Over the long term mould can build up and ruin historical documents, especially if they are stored in cardboard boxes that have been exposed to moisture.
- Lighting – if you have documents exposed under natural sunlight, this can very quickly discolour and destroy important documents.
- Temperature – many people choose to store archives in shipping containers which can be exposed to some very high temperatures, and if not stored correctly this can have some detrimental effects on your documents.
Available Space
Packing hundreds of boxes into a small space isn’t always efficient, specially if it doesn’t need to be stored anymore. We have a look at your space and the types of documents you have stored and can help you assess:
- What can be destroyed – many customers of our first realise how many documents are old and can be destroyed as per your own retention schedules. This can always be a good way to clear up space.
- Available Space – we will ask you to show us what space may be a better alternative. You can turn almost any space into an archive storage room.
- Storage Options – this can include installing a new on-site system, moving your current archives to somewhere with more space or moving your documents off-site.

We take a look at the way you keep track of your archives. While excel spreadsheets may have worked in the past, when there are unexpected changes in staff, decades of information can be lost or once the document becomes corrupt it’s not able to be saved.
